Role: Document Controller
Location: Cochrane, ON (Otter Rapids)


Reporting to the Project Manager, the Document Controller is responsible for the efficient management and control of project documentation throughout its lifecycle. This role plays a critical part in ensuring accurate and timely document distribution, retrieval, and maintenance in compliance with established procedures and industry standards.

Your primary duties and responsibilities as a Document Controller would include:

  • Establishing and maintaining an organized and systematic document control system, including the creation and management of document registers, logs, and databases;
  • Reviewing incoming documents for accuracy, completeness, and adherence to document control procedures;
  • Classifying and categorizing documents according to predefined coding systems for easy retrieval and reference;
  • Ensuring proper document naming conventions and version control, preventing duplication and confusion;
  • Managing document distribution, both internally and externally, ensuring timely and accurate delivery to the relevant stakeholders;
  • Collaborating with project team members to ensure document updates are captured and incorporated into the system in a timely manner;
  • Conducting regular audits to verify document accuracy, completeness, and compliance with applicable standards and regulations;
  • Assisting project stakeholders in retrieving and accessing documents as needed, maintaining strict confidentiality and security protocols;
  • Facilitating document review and approval processes, tracking progress and ensuring timely completion;
  • Generating reports on document status, including tracking overdue documents, pending approvals, and document expirations;
  •  training and support to project team members on document control procedures, software systems, and best practices
  • Keeping abreast of industry trends, technologies, and advancements related to document control, recommending improvements to enhance efficiency and effectiveness.

As a Document Controller, your attention to detail, strong organizational skills, and ability to maintain accurate and up-to-date documentation will contribute significantly to the smooth operation and success of the project.

The successful candidate will be a high energy individual who supports the Company’s safety and quality programs, has excellent communication, organizational skills and has the ability to work in a fast-paced environment.  They must have a strong work ethic, work well within a team environment and be proficient with the use of computer programs such as Microsoft Excel and Word.  

There is an expectation to work extended work schedules, which includes holidays and weekends.  Travel away from home will be required.  Preferred candidates will be open to travel and construction project work and be on a defined rotation work schedule.  Competitive living out allowance will be provided.
